How to Use Notification Settings (eCM)

Master role => This article explains the configuration of automated communication options with the patient

Notification Type

T-Pro's eCLINIC MANAGER offers different methods to notify the patient:

  • Email

  • SMS

  • both



As a Master user you can set up the default options available for the healthcare providers of your organisation.

This has to be done on organisation level under SETTINGS:

1. Scroll down to the section Clinic Manager:

2. Activate the option you want healthcare providers to use.

Customise Email Templates

If your notification type includes email notifications you can preset a template.

1. Activate the template fields with the slider.

The following fields need to be filled in to use the email template:

2. Select the Email Type from the drop-down list:

3. Enter the Sender address and the Subject.

4. You can write an

  • Introduction and

  • Body text

=> Use the Insert field to select placeholders for your text which will automatically bring up the appropriate information in your template.

5. Select an item from the drop-down list Insert.

6. Move the cursor to the field and position where you want to use the placeholder.

7. Click on ADD.

=> Your selection will be entered within your template text.

Repeat this procedure to add another item.

=> The sample text from the screenshot above reads:

Hello ###{{patient_name}},

You have been scheduled for an appointment in ###{{point_of_care}} virtual clinic.

Your appointment is scheduled for ###{{appointment_date}} at ###{{appointment_time}}.

8. When the template text is complete click on SAVE.

Repeat this procedure to set up the other email template types, e.g. Session Reminder.

Customise SMS Templates

If your notification type includes SMS notifications you can preset a template.

1. Activate the template fields with the slider.

The following fields need to be filled in to use the SMS template:

2. Select the SMS type from the drop-down list:

3. Enter the Sender phone number.

4. Write the message text. The character count is max. 160 for an SMS.

=> Use the Insert field to select placeholders for your text which will automatically bring up the appropriate information in your template.

5. Select an item from the drop-down list Insert.

6. Move the cursor to the field and position where you want to use the placeholder.

7. Click on ADD.

=> Your selection will be entered within your template text.

Repeat this procedure to add another item.

=> The sample text from the screenshot above reads:

Hello ###{{patient_name}}, your appointment in ###{{point_of_care}} virtual clinic for ###{{appointment_date}}, ###{{appointment_time}} has been cancelled.

=> You have 17 characters left.

8. Click on SAVE.

Repeat this procedure to set up the other email template types, e.g. Session Reminder.

Reminder Settings

1. Activate the reminder fields with the slider.

You can set the hours and minutes before the actual appointment time for a reminder.

2. Use the arrows at the end of each field to set the required value.

=> In the sample above a reminder will be sent to the patient a day in advance.

Customise your welcome message

1. Activate this feature with the slider.

=> The welcome text is displayed in the virtual waiting room before the patient enters a session.

2. Enter the text for your welcome message.

It can be up to 200 characters long.

3. Click on SAVE.
