Each task that is dictated and uploaded is associated with a specific author, author group, document type, department, and organisation.
This task data originates from the default settings or the settings selected by the author at the time of dictation. It's always applied whether the user is dictating with the app, a landline, a speechmic recorder, or web upload.
Occasionally an incorrect setting may have been selected by the author, for example, the wrong author group - if they have moved department and not informed us, if an incorrect PIN is used with the landline system or (rarely) if authors share accounts.
When this occurs the task's workflow may need to be corrected, so that it reaches the correct typist and so that the correct author can approve it.
Edit Task Information
Click on a task in your task list.
=> The Edit Task Information window opens.
You can also open this window from within a task:
Click on the pencil icon next to the patient's name.
1. Updating the Department
NOTE: This change can only be done in the Master or Manager user role.
Click into the Department field and select a different department from the dropdown menu.
=> Changing the department will require to update the other fields too.
2. Updating the Author Group
This change can be done by clerical users as well.
Click into the Group field and select the correct author group for this task.
3. Updating the Document Type
This change can be done by clerical users as well.
If you have change the previous fields then you need to select a new Document Type as well.
Click into the field and select the required template from the dropdown list.
4. Updating the Author
NOTE: This change can only be done in the Master or Manager user role.
Click on UPDATE to save your changes.
Points to note:
If you update the author the task will go back to Pending (regardless of status before that)
If the template changes (this may happen if template is not in the new group) the typed body of text in the letter will be cut. However, it will be retrievable along the top of the letter, by clicking on the word BODY and right clicking and pasting it back into the letter.
